How to Enroll and Transfer Academic Records

Introduction to the School Environment

At TVAH Elementary School, we understand the unique challenges that come with relocating as a military-connected student. To ensure a smooth transition, our campus provides a comprehensive virtual transition program that includes:

  • welcome survey sent by the military liaisons upon enrollment to identify student needs and interests.
  • frequently updated Smore newsletter with helpful information, resources, and support services.
  • Introductions to key staff members, including teachers, advisors, counselors, and military liaisons during orientation to help students feel connected from the start.
  • guided walkthrough of learning platforms including Canvas and IXL, so students understand how to access lessons, complete coursework, and submit assignments as well as an introduction to Engageli so students can make the most of live class sessions.
  • designated space in the K12 Zone for military-connected students to connect, share experiences, and build peer relationships.
  • Military family liaisons will host a Town Hall specifically for all military-connected families who still have questions after orientation sessions.

This transition program ensures that our military-connected students are welcomed, supported, and set up for success from the moment they join our virtual campus.

Extracurriculars Activities

  • During orientation, students will learn about the organizations and clubs that are available for our TVAH bobcats and run by our teachers.  These include the National Honor Society (invitation only), Green Cord community service club, E-sports, and many more. Students will be given the opportunity to sign up for organizations in the Fall semester. Additionally, students who enroll in the Spring will be given the opportunity to join at that time as well.
  • Extracurricular activities also include optional, quarterly in-person outings.  Virtual options will always be available to all students.  
  • Virtual social hours and regular check-ins will be hosted by a military liaison to foster a sense of community amongst military-connect students.

Tutoring Opportunities

Struggling students have different opportunities for support. All TVAH students have complete access to IXL, they may attend additional live sessions with their teachers, and they may work with our interventionists. TVAH students also have access to Varsity Tutors, an on-demand AI-enhanced tutoring platform.

Enrollment and Registration

Information regarding the process and requirements for enrollment

A list of required documentation needed to enroll at TVAH

  • Proof of Age (birth certificate or passport) 
  • Proof of Guardianship (birth certificate or court document) 
  • Proof of Residency (a bill or government document showing Texas address and dated no older than 60 days or military PCS orders to Texas*)
  • Proof of Prior Public-School Attendance (report card strongly preferred) [*if the student attended an out of state school prior to TVAH, you must submit PCS orders even if you have already established residency in Texas] 
  • Immunization records, required for all public-school enrollments in Texas, must be received within the first 30 days of enrollment
    • Our registrars will follow up with the previous school to obtain the student’s academic file.

Academic Planning

Schedules, Attending Class, and Completing Coursework

  • Students must log into the TVAH online learning platform, Canvas, every school day. Please see our attendance smore here for more details or our attendance policy.
  • Students are expected to complete all asynchronous lessons within Canvas daily.
  • Our counselors review each student’s transcript and weigh it against the Texas graduation requirements to ensure students are on track for graduation. Students select their courses before their first day of school at TVAH and have 10 days after their start date to request course changes. Students have the option to attend lunch with their counselor 1-2 times a week and can always reach their counselor via email. 
  • Students must attend all Class Connect sessions (CCs) unless they are marked as optional (-OPT). If a student misses a CC, or wants to review what was covered, they can access the recording at any time. Course work is posted within individual classes in the Online Learning System, Canvas, and at times IXL or other external platforms. Classwork may include readings, discussions, writing assignments, quizzes, and tests. It is expected that all work is completed as scheduled, but students are not penalized for late work. Zeros are entered the day after assignments are due, and students can continue to submit assignments for full credit until the lock dates at the end of the semester. 

Students are automatically allowed to redo a failed or missed assignment one time (for a total of two attempts), and they can request a third attempt from their teacher.  

Supporting Students Who Did Not Pass Last Year’s State Test

Joining our FLEX Program

To remain in the Flex program, students must:

  • Maintain 70% or above in all courses.
  • Attend bi-weekly Flex teacher check-in sessions.
  • Respond to outreach communication within 48 hours.
  • Attend all required sessions (MTSS, EB, Dyslexia, SPED/IEP, C&CP, AP).
  • Maintain daily course activity (must occur before 10:59pm each day).
  • Attend all required in-person state testing.

  • ASVAB – Students who are interested in pursuing a career in the military can take the Armed Services Vocational Aptitude Battery (ASVAB) while at TVAH. This test assesses a student’s qualifications for enlistment and helps determine which military jobs they are best suited for. We offer the test once each spring to any interested students.   • Advanced Courses – Advanced courses are offered to all students, but an 80% in the pre-requisite course is recommended to best set students up for success. Please see our course catalog for a full list of our honors and AP courses.
  • Dual Credit– Dual Credit requirements are mandated by each partnering college or university. TVAH offers free, virtual dual credit courses through Kilgore College.  Please see the counseling website’s dual credit page for more information, including enrollment eligibility. TVAH students can take in-person dual credit classes focusing on specific career areas of study and are available at various community colleges across the state.  For a list of all available in-person dual credit options and each university’s entrance requirements, visit the Workforce Dual Credit webpage. If a student fails a dual credit course, they will no longer be eligible for the TVAH dual credit program.

Counseling and Support Services

Navigating school life, while dealing with the unique challenges of being part of a military family, can be overwhelming. Our student support services are here to support students through transitions, deployments, frequent relocations, and emotional stress. We provide a safe, understanding space where students can express themselves, build resilience, and develop healthy coping strategies. Whether you’re new to your area or adjusting to a recent change, our trained counselors and school social worker are here to help you thrive—both emotionally and academically.

High School Military Liaisons

At TVAH, we have campus-based military liaisons who welcome military students and their families, help our military students connect with peers and find a place of belonging at school, help facilitate orientation, connect students with the resources for academic success, provide guidance on how receive social emotional support, provide professional development to staff on the unique needs of military-connected students, and provide opportunities for the school community to learn about and support military families.

Welcome! My name is Kathleen Kubasiak. I am the spouse of a service member and the parent of three military children. We have PCSed nine times, including an over-seas move, and my children have attended 15 different schools. I have a deep understanding of the challenges that come with starting over in a new place, and especially with a new school.
